PDF to Word, the details

Why PDF to Word Breaks Resumes, and How to Get a Clean DOCX

This is the detail page behind the short PDF to Word guide. It explains why converters scramble resumes, walks through the rebuild step by step, and covers whether to send PDF or Word.

Free account for downloads. No credit card. No watermark.

Quick answer

  1. 1. Go to smoothapply.com/resume-builder/?start=import and upload your resume PDF. The content is extracted into an editor.
  2. 2. Pick a template. Your text is laid out fresh using real paragraphs, headings and lists, not text boxes.
  3. 3. Download DOCX. It opens and edits cleanly in Word, Google Docs and LibreOffice. Free account, no watermark, no card.

Why PDF to Word conversion breaks resumes

A PDF is a fixed layout format. It records where every glyph sits on the page, not what the glyphs mean. As one formatting service puts it, PDF "stores the visual appearance of a document, not its structure" (as of September 2026, documentformattingservices.com). When Word opens a PDF, it has to reverse engineer paragraphs, headings, lists and tables from coordinates, and it guesses. For a letter or a report the guess is often fine. For a resume it usually is not, because resumes are the most layout heavy documents most people ever make.

Every direct converter, including Word itself and the online tools, has this problem to some degree because the problem is in the PDF format, not in the tool. The fix is to stop converting the layout and convert the content instead.

Step 1

Import the PDF

Open smoothapply.com/resume-builder/?start=import and upload the PDF. You do not need an account to start. The importer reads the text layer of the PDF and works out which parts are your name, contact details, work history, education and skills, then places them in the editor as structured content: each job is an entry with a title, employer, dates and bullets, each skill is an item in a list.

That is the difference from a converter. Once the content is structured, the layout is generated from it, so nothing is a text box and nothing depends on the original coordinates.

Step 2

Check the content and choose a template

Read through the editor once. Parsers are good, not perfect, and the more unusual the original design, the more worth checking. Look for a job description that came through as one paragraph and split it into bullets, confirm dates sit with the right role, and delete anything that was decoration in the PDF but came through as text.

Then pick a template. There are 93, all free, in one column, two column and mixed layouts. If the Word file is going to a recruiter or an agency, choose a simple one: they will edit it, and simple layouts survive editing.

Step 3

Download DOCX

Download as DOCX. The file is generated from your content using Word paragraphs, heading styles, real bulleted lists and, where the template needs columns, proper table cells. It opens in Microsoft Word, Google Docs, LibreOffice and Pages, and it edits the way a Word document should: add a line and everything below it moves.

You can also download the same resume as PDF for attachments and as TXT for application forms. Downloads need a free account so the resume is saved to your profile. There is no watermark, no credit card, and no limit. The only paid feature on SmoothApply is unlimited AI writing.

What is preserved and what to check

Preserved: all your text, section structure, job entries with dates, education, skills, links, and the order of sections. Regenerated: fonts, colors, spacing, column layout and icons, which now come from the template you chose rather than the original PDF.

When to keep PDF and when to send Word

Send PDF by default. It renders identically on every device and cannot be edited by accident. Send DOCX when the posting asks for it, when a recruiter or staffing agency asks for it so they can add a cover sheet or remove your contact details, or when you want a file you can tweak in Word for a specific job without opening the builder. Because both come from the same source, you can keep them in sync by editing once and downloading twice.

More questions

Why does my resume look broken after converting PDF to Word?
Two column layouts become floating text boxes, fonts that are not installed get substituted, bullets turn into stray symbols, and tables lose their borders. These are the most common failures described by formatting specialists, as of September 2026 (documentformattingservices.com and formatly.app). Rebuilding on a template avoids every one of them.
Should I send my resume as PDF or Word?
Send PDF unless the employer asks for Word. PDF looks the same everywhere. Send DOCX when the posting or the recruiter asks for it, which agencies often do so they can add their letterhead or remove your contact details. With SmoothApply you can download both from the same resume.
